Roofing lead follow-up: give every inquiry a next step

A shared next step makes an inquiry easier to manage—from the first conversation to the inspection.

Make a single record for each opportunity.

Roofing inquiries can arrive by phone, web form, referral, or repeat contact. Connect duplicate contacts to the same opportunity so your lead count reflects actual potential jobs.

Record the source, the work requested, the date received, and the person responsible for the next action. Use the tools your team can keep up to date.

Separate qualification from scheduling.

A conversation is not the same as a booked inspection. Confirm the work requested, service-area fit, timing, and the information needed to decide what should happen next.

Use a small set of clear stages: new inquiry, contact attempted, qualified, inspection scheduled, estimate needed, and closed. Adapt those stages to your actual workflow.

Make ownership explicit.

  • Assign one owner to each active opportunity.
  • Record the next action and when it is due.
  • Confirm who takes over if an inquiry changes hands.
  • Record the result when an inspection is completed, moved, or canceled.
  • Review active leads that have no future action scheduled.

Review the stalled handoffs.

Look for conversations without a scheduled next step, inspections without a resulting estimate, and leads that remain open despite a clear outcome. Review reasons as well as counts.

Do not assume that every unbooked inquiry could or should become a job. Job fit, homeowner timing, crew capacity, and customer choice all matter.

First action: take the active lead list and give every genuine opportunity an owner, a next step, and a status that reflects what actually happened.

After the estimate goes out

Keep a separate follow-up process for proposals already in the homeowner’s hands.
