Start with the call log.
Review unanswered calls over one consistent period. Separate new-job inquiries from existing customers, repeat callers, spam, and calls that were returned or booked through another channel.
The missed-call count alone cannot tell you how much revenue was lost. A qualified inquiry that was never reached is different from a duplicate contact or an existing customer calling about scheduling.
Give each callback a clear owner.
Keep a shared record with the time of inquiry, the assigned owner, the next action, and the result. Choose a response process your team can maintain during work hours and after hours.
- Check whether calls reach voicemail or another response path when no one answers.
- Assign responsibility for reviewing unanswered calls.
- Record each callback attempt and the next step.
- Close the loop with an outcome: inspection booked, not a fit, declined, or not reached.
Measure what happens next.
Review how many unique inquiries received a response and how many moved to a booked inspection. Keep the same definitions each time you compare periods.
If you model a revenue scenario, make the qualification and conversion assumptions explicit. The result describes a possibility; it is not proof that those jobs would have been won.
Keep the next handoff visible.
When a callback becomes a conversation, the opportunity moves into your lead follow-up process.
